Futures Program Travel Policy
Purpose: The purpose of this policy is to ensure consistent procedures among Futures participants traveling on behalf of the Foundation. This policy applies only to participants whose expenses are being paid by the Foundation; it does not apply to those whose expenses are being paid by another organization or by the traveler him or herself.
The guiding principles for the Travel Policy are reimbursement for legitimate, reasonable travel expenses when directly related or pertaining to the Futures Program based on established allowances in this policy. Participants are expected to be conscientious in their use of Foundation funds and travel by economical and efficient means.
Statement of Policy:
All travel arrangements, including all changes and cancellations of travel arrangements, can be made directly by the Futures participant. All flight changes and cancellation fees will be the responsibility of the Futures participant. The lowest available airfare shall be sought when booking. All travelers are expected to use economy class. If the location of the conference is within driving distance of the participant, the participant will be reimbursed for mileage (federal rate) and parking fees. If a participant chooses to drive, the mileage expense cannot exceed the cost of airfare.
Conference registration to PALTC22 will be paid directly by the Foundation.
The Foundation staff will make the hotel accommodations. If the participant received a full award and requires private accommodations, the Foundation will provide two nights hotel accommodations and participants will be responsible for additional nights. Rooms will be assigned upon gender and geographic location.
Futures participants will be responsible for the costs of ground transportation to/from the conference as well as any food costs (breakfast and lunch will be provided at the Futures Program).
Futures Program Cancellation Policy
Purpose: The purpose of this policy is to provide a cancellation procedure for Futures participants, should a cancellation be necessary. This policy applies only to participants who have been accepted into the Futures Program.
Statement of Policy
If a Futures participant would have to decline or withdraw from participation in the Futures Program, the Foundation must be notified immediately in writing. The institution’s program director of the participant will also be notified of the participant’s cancellation. Cancellation after acceptance into this program will be subject to review by the Futures Committee. If the committee determines cancellation to be unreasonable, the participant may be responsible for any expenses incurred on behalf of the participant, including but not limited to transportation and housing, and may not be eligible to receive membership benefits. The Futures Committee reserves the right to deny future participation for those who cancel after being accepted into the program.
